CA Indosuez Wealth (Asset Management) recrute actuellement un / une Administrative Assistant (H/F) sous convention de stage à pourvoir dès que possible pour une durée minimale de 3 mois.

Vous découvrirez les activités menées par la Société de Gestion et vous assisterez la Direction et les équipes au niveau administratif. 

Dans le cadre de ce stage, vous serez chargé(e) de:

  • Organiser des réunions internes et préparer les documents de support nécessaires ;
  • Organiser le classement physique et électronique des documents, préparer les dossiers à archiver ;
  • Aider à la mise en forme ou création de documents/présentations ;
  • Effectuer le contrôle et le suivi de factures ;
  • Répertorier et distribuer le courrier interne et externe ;
  • Aider à la gestion des salles de réunions et des systèmes informatiques y afférents.

This is a part-time position at 60%, usually working 5 hours during the afternoon.

 

Tasks:

 You will eporting directly to the General Manager, your tasks will be :

  • Being the first impression of the company by welcoming visitors at the reception
  • Organizing visits and appointments with clients
  • Handling the incoming phone calls
  • Managing and follow-up on the postal mail
  • Ensuring great meeting room preparation for meetings/trainings/other events;
  • Inviting employees to meetings
  • Organizing business travels (hotels, cars, taxi, flights, etc.)
  • Purchasing office materials
  • Supporting the Site Management and partly HR in administrative tasks

 

Profile:

  • You have a bachelor’s degree in administrative field
  • You have at least 3 years of working experience in Reception, Office Management, Administrator department,
  • You are fluent in German, English as well as French
